Position Purpose

To assist Health Consultant in monitoring, training, policy and procedure development and daily administration of Child Health Services and Family/Staff Health Education. Assist the Health Consultant in creating and maintaining collaborations with community agencies and Health Providers. Work in cooperation toward common goals with all other component areas (Education, Disabilities, Family Services, and Mental Health etc.) within the Head Start program.

Essential Job Responsibilities: Performance Indicators

Specialized Health Services Support (70%)

  1. Provide direct clerical support for Dental Prevention Program in Head Start Centers. (Peak times: October, November and March)
  2. Assist the Health Consultant in providing appropriate community health information and referrals for both staff and parents.
  3. Assist in responding to requests (phone, e-mail and written) from staff related to child health needs/concerns.
  4. Assist in the development and distribution of written and web based materials for children, adults and employees within the areas of: health, fitness, safety, nutrition and preventive health education.
  5. Assist Health Consultant and Community Health Centers of Lane County Staff with WebCAF data entry related to Medical & Dental Home, Medical and Dental Follow-up, and Child Health Appraisals.
  6. Oversee and assist clerical staff in submission of Child Health Appraisal forms to Health Care Providers and monitor their completion. (Peak time: September)
  7. Evaluate the "Certificate of Immunization Status" record for each enrolled and applying child and assure the proper date entry into WebCAF. (Peak time: July & August)
  8. Monitor completion of required immunizations for each enrolled child.
  9. Prepare annual "Primary Immunization Review"coordinating with LCPH for submission to Lane County Health Department in partnership with Health Consultant. (January & February)
  10. Provide staff with information and support related to child immunization requirements.
  11. Work with Health Consultant and Community Health Center staff on Centralized Record Keeping of Health related forms such as CIS, Health Appraisal, Dental Examination forms, and other forms as assigned.
  12. Assistance and oversight of data collection for health related grant and research projects as assigned.
  13. Assist HR in implementing and maintaining Staff CPR/First Aide Training.

 

Compliance and Tracking (20%)

  1. Assist Health Consultant with developing and maintaining written policies and procedures.
  2. Ensure that Health Services materials are tracked and accounted for.
  3. Utilize WebCAF reports to monitor Site and Program Wide compliance with deadlines for Hearing, Vision screenings, and assist Health Consultant in assuring that initial screenings occur within 45 days of program enrollment.

 

Committees/Planning (10%)

  1. Attend meetings, training and professional development activities as needed or requested by the Health Consultant.
  2. Assist Health Consultant in providing administrative support for OSHA mandated Safety Committee functions.
  3. Perform other duties as requested.

Knowledge/Skills/Experience Required

  • Associate Degree in Medical Records Administration or specific work experience in Oregon Immunization Records Laws as they relate to Head Start programs.
  • 2 Years of experience in data entry and medical records administration, detailed record keeping and excellent communication, computer/database & keyboarding skills. (Emphasis with school health services highly desirable).
  • Specific experience in medical records administration for Oregon Health Plan, federally qualified health centers and dental care organizations preferred.
  • Excellent oral and written and computer communications skills.
  • Working knowledge of local community resources related to medical and dental Care.
  • Education and/or experience in health, nutrition, child development, first aid, and safety desirable.
  • Current enrollment in the Child Care Division, Criminal History Registry
  • Valid Oregon Driver's License and proof of insurance.

  • Ability to utilize agency resources, technology and library to appropriately answer questions and provide guidance to staff and parents.

  • Sustained concentration and attention to detail and accuracy & ability to prioritize a complex work load.

  • Ability to communicate effectively & professionally with parents, staff, and medical providers.
  • Understand, interpret and implement policies and procedures.
  • Determine workload priority, meet deadlines and ability to work independently
  • Ability to manage multiple tasks concurrently, strong organizational skills.
  • Must be detail oriented and maintain high level of accuracy.
  • Regular sitting, working at computer keyboard and desk, standing to file misc. documents in filing cabinet.
  • Occasional bending, stooping and lifting up to 25 lbs.
     

Position information:

  • 50 weeks per program year, supervised by Health Consultant.
  • Pay Grade 6 (Bargaining Unit)
