Use of Agency Vehicles Procedure

  1. Employees who will use an agency vehicle must have a valid driver’s license and annual DMV check on file.
  2. The Employee who will use the vehicle must reserve the vehicle on the Outlook Calendar (Reservation How-to-Guide).
  3. There is a gas card assigned to each vehicle. When you check out a vehicle you are also checking out a gas card. Receipts from the gas card must be given to finance (Staff may be responsible for fees to replace a gas card if lost).
  4. Keys and Gas cards must be coordinated through the Operations Director or a designee.
  5. Employees must follow current traffic safety laws.
  6. The driver should complete a vehicle inspection prior to leaving. There is a clipboard in each vehicle with a checklist.
  7. Return the vehicle to the condition you reserved it in. Make sure to collect all your belongings and pick up any trash.
  8. Notify the Operations Director and/or the Transportation manager of any issues with the vehicle. (Was there a warning light on, damage to the vehicle, an accident, etc.).
  9. For any vehicle accident the Operations Director and Transportation Manager need to know as soon as it is safe.
  10. If you no longer need a vehicle, you should cancel the Outlook Reservation.
